One of the first things you'll probably want to do when you start with your FleetWave site is get your data into the system, and this can be achieved quickly and easily with the Import Wizard. This wizard can be accessed via the kebab (3 dots) action menu on the browse table you want to import into.
We recommend importing into the supporting tables, or lookup tables as we call them (see Establish Lookups), first. This is so any reference data is already available in the system and you don't need to add them on the fly (see step 9).

1. Click the kebab menu icon in the top right corner of the browse table, navigate to the Import tab on the Import/Export pop-up and click 'Import Wizard'
2. Click 'Choose File', select your file and click 'Upload'
FleetWave will populate the 'Select your file' dropdown field with the file - previously uploaded files will be available in this dropdown until they are deleted from the import/export management page.
3. Click the 'Next' button
4. Click to create a new import map
If an import definition has already been created for the file, you can select this instead of creating a new one. Just click on the 'Select from import definitions...' option and select the relevant import definition from the dropdown, then click 'Next' and continue at step 9.
5. Enter the number of rows that require ignoring if the data you want to import doesn't start from row 1 (e.g. there are column headings in the file)
The module and table will be pre-populated based on the table you were on when you opened the wizard.
6. Select whether you want to overwrite, update or ignore the data for any duplicate records and click 'Next'
If you choose to overwrite or update then select the relevant key fields so FleetWave knows where to check for duplicates (e.g. for driver records it may be their payroll number).
7. Map the columns from your file to columns that exist in the table you selected in FleetWave and click 'Next'
The table displayed has the column names from your file on the left, example data from your file in the middle, and a dropdown of available FleetWave columns on the right. Where possible, FleetWave will attempt to automatically match the columns if it recognises a column name from your file.
8. If you're importing data into date fields then it will ask you to select the desired field format, do this from in the dropdown fields and click 'Next'
9. Validate any data issues by either adding missing data sets via the + button, or mapping them to existing values via the dropdown
Data sets in FleetWave refers to fields that reference specified sets of data, such as lookup tables, and therefore values being imported must match what is already in the system. For example, if you were importing your drivers, and in the 'Driver Status' column you had 'Employed', this would fail on import because it is not a standard status code. You would, therefore, either need to add this value to the Status Codes table, or select an already existing status code from the dropdown of available options.
It is also possible to export the data set issues and amend them in Excel before importing again.
10. Click the 'Finish Import' button
The final step of the wizard is the summary page, which will summarise how many new records have been imported, how many existing records have been updated, and how many records failed to import. If you were creating a new mapping, then the name of the newly created import definition will also be displayed.
11. Click the 'Done' button and you'll be returned to step 1 of the wizard, ready to import your next file!
