Vehicles can be allocated to drivers to keep a history of who is/has been responsible for them, and hierarchical entities, such as cost centres and departments, for more flexible management and reporting. This process is done via the Reallocation Tool, which can be used to allocate vehicles for the first time, as well as reallocate them when they change hands or move around within your business. Previous allocation information is stored in the Allocations table, which is also available via a tab on the vehicle record.
Check the video out:
1. Navigate to the Reallocation Tool
2. Enter the driver you wish to allocate to a vehicle
If the driver has a vehicle already allocated this will appear when you tab off the name. If you allocate a new vehicle to this driver the old vehicle will be unallocated. If you do not want to allocate a new vehicle to a driver, but wish to change other details skip to section 3.
3. Enter the 'Registration Number' of the vehicle you wish to allocate
FleetWave will pull through some basic vehicle details (make, model, derivative) and the latest odometer reading.
If an allocation record already exists for the vehicle, then FleetWave will also pull through the allocation information (driver name, cost centre, department etc.) and the start date of the previous allocation.
4. Set a 'Start Date' for the new allocation
5. Enter/update the required allocation information, e.g. enter a driver name, or update the department
6. Select an 'Allocation Reason' and enter any 'Comments'
7. Click the save button
FleetWave will update the allocation information for the vehicle, adding a new record to the Allocations table and closing off any previous allocation record.
Tip - if you're already in the vehicle record you wish to allocate, you can launch the tool from the Allocations tab (click the reallocate button). The tool will open with the vehicle details already populated!
