In the situation where you want to apply a service event to a group of vehicles that have the same service requirements, you can do this with the Service Event Tool.
Check the video out:
1. Navigate to the Service Event Tool under the Maintenance menu item
2. Build the query for which group of vehicles you want to create service events for (e.g. select the field 'Vehicle Type', select the filter condition 'Equal to' and enter the value 'Van' to return all the vans on your fleet)
Click the add button to add more filters to the search.
3. Select the 'Reason' for the event you're creating
As vehicles can only have one service event record per reason, the search results will exclude any vehicles that match the filter criteria from step 2 but already have a service event matching the reason selected.
You can configure which options are available in the event reason dropdown by adding/removing records from the Job Events/Triggers table (see Establish Lookups).
4. Select which date field you want to act as the 'Seed Date' if you want the service schedule to be calculated at strict intervals from this date, or select 'None' for a flexible service schedule, based on intervals from the last service date
For example, setting a ‘Seed Date’ will mean a fixed schedule, irrespective of whether a vehicle is presented early or late. By not setting a ‘Seed Date’, the next service will be calculated based on when the last service was completed (using the recurrence interval set).
5. Click the 'Search' button
FleetWave will populate the table with vehicles that match the filter criteria and don't already have a service event matching the reason selected.
If you selected a date in the 'Seed Date' field, the table of results will display this as a column, showing the actual date for each vehicle. Where a vehicle doesn't have a date set in the field, you won't be able to select the vehicle (because FleetWave can't calculate the next service date from a date that doesn't exist!)
6. Enter the recurrence details for the event - the interval and type, and/or the distance
7. Check the checkbox for each vehicle you wish to create a service event for, or the "select all" checkbox to include all vehicles in the table
8. Click the 'Create Service Event' button
9. Click 'OK' to confirm the action
FleetWave will create a record in the Vehicle Service Events table for each vehicle selected, which you will be able to view in the individual vehicle record on the Compliance tab. There is a KPI on the Fleet Status Tool that will alert you when vehicles are approaching, and overdue, the service event. Record Maintenance Work to let FleetWave know that the service event has been completed and the 'Next Service Date' will be recalculated accordingly.
